Scope
This policy aims to define and clarify the rules and conditions related to application, acceptance, and enrolment in the Open Enrolment programs of Nova SBE Executive Education (hereinafter "EBT"), detailing the rules and criteria for billing, payment, cancellation, deferral, and transfers between programs, according to the different types of programs and clients.
Enrollment in any programme implies full acceptance of these terms and conditions, as expressly confirmed at the time of registration.
Definitions
- Open Enrolment: All training programs open to the market.
- Application Fee: Fee charged at the time of application, when applicable, to secure a place and cover administrative costs.
- Tuition Fee: The total cost of enrolment in Open Enrolment programs, which includes the application fee and any applicable discounts.
- Client: Any individual or corporate entity that remits payment for Open Enrolment programs.
- Participant: A person is considered a participant in an executive education program once the full payment of the enrolment fee has been settled, granting them access to training sessions, materials, and physical and technological infrastructures.
- Program Advisor (PA): The person responsible for advising on the Executive Education program portfolio and guiding the entire process from application to payment.
- PVP (Public Sale Price): The amount the Client pays for the product or service.
A – STANDARD ENROLLMENT IN PROGRAMS
I – APPLICATION AND ENROLLMENT POLICY FOR OPEN-ENROLMENT PROGRAMS
1. Postgraduate Programs
1 .1 Application Phase
The admission process begins with an application phase, where the candidate applies to attend a program from the EBT portfolio by completing an admission form with personal details, CV, and motivation letter, and paying an application fee of €250.00.
1.2 Application Review Phase
At this stage, the application is assessed based on the submitted documentation and any additional documents that may be requested. Depending on the evaluation, an interview may be required. The review process is the responsibility of the Academic Director or the Head of the Admissions Team.
1.3 Notification of Application Result
1.3.1 Approval of Application
The candidate will be contacted by the PA to inform them of their successful application and the next steps in the process.
1.3.2. Rejection of Application
The PA will contact the candidate directly, explaining the reasons for non-admission and suggesting alternative programs that better fit their profile. In this case, the application fee will be refunded.
2. Intensive, Advanced, and Specialization Programs
2.1. Enrolment Phase
The admission process begins with enrolment, where the applicant applies to attend a program by filling out an admission form with personal details, LinkedIn/CV, and making the full payment for the program.
2.2 Review Phase
At this stage, enrolment is validated based on the submitted documentation. The validation process takes 48 business hours and is handled by the head of the Admissions Team.
2.3 Notification of Enrolment Confirmation
2.3.1 Approval of Enrolment
The participant will receive an email via the platform confirming their enrolment and explaining the next steps. They may also be contacted by the PA.
2.3.2. Rejection of Enrolment
The PA will directly contact the applicant, explaining the reasons for non-admission and suggesting alternative programs. In this case, the full amount paid will be refunded.
II. BILLING AND PAYMENT POLICY
1. Payment Methods
a) Full payment by the participant.
b) Partial payment by a corporate entity.
c) Full payment by a corporate entity.
2. Billing and Payment Deadlines
a. Invoices are issued immediately after payment, based on the details provided in the application form.
b. Invoices will be sent to the email address specified in the form.
c. The payer must ensure that the billing details provided are correct at the time of form submission.
d. Any request to change billing details must be made within 5 business days of invoice issuance via written communication. After this period, Nova SBE Executive Education reserves the right not to reissue the invoice.
e. The attendance of an Open Enrolment program requires full payment to be made at least 7 days before its start. If there are available spots, registrations may be accepted after this date, provided that full payment is made immediately.
f. Failure to pay the total amount within the deadline will be considered non-compliance, and Nova SBE Executive Education reserves the right to suspend enrolment and prevent the participant from:
- Attending program classes.
- Accessing online learning platforms.
- Accessing educational materials.
- Taking assessments.
- Viewing grades.
- Obtaining diplomas or certificates.
g. If the participant, either personally or through the entity they work for, is eligible for a commercial discount, they must request its application at the time of registration so that the issued invoice reflects the discounted amount. Requests for discount application submitted after the participant's registration in the program will not be accepted.
III. WITHDRAWAL/CANCELLATION POLICY
A. General Rule
Participants may request withdrawal from the program by submitting a written request to the Program Advisor:
a. If the withdrawal from the program is requested up to 7 days before its start date , the full amount paid will be refunded, minus a €250 application fee for Postgraduate programs and a €100 administrative processing fee for other programs.
b. Refunds depend on the type of program:
1. Postgraduate Programs: If withdrawal occurs within the first month after the program start date, 50% of the amount paid will be refunded. After this period, no refund will be issued.
2. Specialization and Advanced Programs: If the withdrawal occurs within 15 days of the program start date, 50% of the amount paid will be refunded. After this period, no refund will be issued.
3. Intensive Programs: No refunds will be issued after the program start date.
c. If invoices remain unpaid during the withdrawal process, no refund will be granted, and any outstanding balance will still be due. Failure to settle outstanding amounts will limit access to any other program offered by Nova SBE Executive Education and will result in the application of late payment fees under the following conditions:
1. 2% of the total tuition fee for payments made within 60 days after the invoice due date.
2. 5% of the total tuition fee for payments made after 60 days from the invoice due date.
B. Exceptions
a. The application fee is only refundable in the following cases:
- Non-approval of the participant in the selection process.
- Death (including the participant, spouse, and first-degree relatives such as parents and children).
- Cancellation or postponement of the program by Nova SBE Executive Education.
b. In cases of withdrawal where, under the general policy, no refunds are granted, the paid amount may be used as credit for another edition of the same program or for other programs if one of the following situations occurs:
- Change in employment status resulting in unemployment.
- Serious illness of the participant or dependents, defined as any sudden, unforeseeable, and pre-existing condition that endangers life or requires more than one day of hospitalization.
- High-risk pregnancy of the participant or spouse.
- Relocation of residence or workplace (after enrolment) to a distance greater than 100 km from the program's location, applicable exclusively to in-person programs.
c. In cases of withdrawal where, under the general policy, no refund is granted, the paid tuition fee may exceptionally be refunded in the following situations:
- Death (including the participant, spouse, and first-degree relatives such as parents and children).
- Cancellation or postponement of the program by Nova SBE Executive Education.
d. For the exceptional cases mentioned above, the participant must provide supporting documentation as proof.
IV. DEFERRAL POLICY
A. General Rule
Participants may request a deferral to the next edition of the same program by submitting a written request to the PA at least 7 days before the program starts.
If the full payment has already been made, the amount will be credited towards the next edition, considering the PVP applicable at that time. In cases where the program was being paid in installments, the participant remains obligated to comply with the originally agreed payment schedule
Deferral requests can only be made once.
B. Exceptions
If the specific postponement situation does not fall within the cases outlined above, the provisions of the Withdrawal/Cancellation Policy will apply.
V. TRANSFER POLICY
A. General Rule
Participants may request a transfer to another program by submitting a written request to the PA at least 7 days before the program starts for Intensive and Specialization Programs.
For Advanced Programs and Postgraduate Programs, transfer requests are accepted up to 7 days after the program starts.
Acceptance of a transfer request is subject to approval by the Academic Director or Head of Admissions Team.
Any payment already made will be credited towards the new program, considering its applicable PVP.
A transfer request may only be submitted once.
B. Exceptions
If the specific transfer request does not fall within the conditions outlined above, the provisions of the Withdrawal/Cancellation Policy shall apply.
B. ENROLMENT UNDER THE FREE LEARNERS’ REGIME
The Free Learners regime is a form of enrolment for individualized modules in various Postgraduate programs, where participants can choose those that best align with their interests, career goals, and personal schedules.
I – REGISTRATION POLICY
1. Registration Phase
The enrolment process for a participant begins with the selection of the module they wish to attend on the Nova SBE Executive Education platform, where they will fill in the required information and make the full payment.
2. Registration Evaluation Phase
During this phase, the enrolment is validated by the Admissions Team based on the information provided and the documentation already submitted. The validation process will occur within 48 business hours.
3. Communication of Registration Confirmation
3.1 Approval of Registration
The participant’s acceptance will be communicated by the Admissions Team, along with an explanation of the next steps in the process. The participant may also be contacted by the PA.
3.2. Rejection of Registration
The Admissions team will contact the applicant directly to explain the reasons for non-admission and suggest other programs that better match the participant’s profile. In this case, the full amount paid will be refunded.
II. BILLING AND PAYMENT POLICY
1. Payment Methods
a. Full payment by the participant.
b. Full payment by a corporate entity.
2. Billing and Payment Deadlines
a. Attending a module under the Free Learner regime requires full payment to be made 7 days before the module starts. The invoice will be issued upon payment.
b. If the total amount is not paid within the specified deadline, the participant will be considered in breach, and Nova SBE Executive Education reserves the right to suspend the registration and prevent the participant from:
- Attending the module classes.
- Accessing platforms designated for the online learning mode.
- Accessing any educational materials.
- Taking assessment tests.
- Viewing grades.
- Receiving diplomas or certificates.
c. If the participant, personally or through the entity they work for, is eligible for a commercial discount, they must request it at the time of registration for the module so that the invoice reflects the discounted amount. Requests for discounts made after the participant’s registration will not be accepted.
III. WITHDRAWAL/CANCELLATION POLICY
A. General Rule
The participant can request to withdraw from the module by contacting the Program Advisor in writing:
1. If the withdrawal request is made at least 7 days before the module begins, the full amount paid will be refunded, minus €100 for administrative processing fees.
2. If the withdrawal request is made after the 7-day period, no refund will be issued.
B. Exceptions
1. In case of withdrawal, where, according to the general rule, there is no entitlement to refundable amounts, the amount may be used as credit for attending other modules or full programs if any of the following situations occur:
- Change in the participant’s employment status to unemployment.
- Serious illness of the participant or dependents, including any unexpected, life-threatening medical conditions or conditions that require more than one day of hospitalization.
- High-risk pregnancy of the participant or spouse.
- Change of residence or workplace (after registration) to a location more than 100 km away from where the program is being held, for in-person programs only.
2. In cases where, according to the general rule, no refund is allowed, the tuition fees may exceptionally be refunded in the following situations:
- Failure to pass the selection process.
- Death (including the participant, spouse, and first-degree relatives such as parents and children).
- Cancellation or postponement of the program initiated by Nova SBE Executive Education.
3. For the exceptional situations mentioned above, the participant must provide proof.
IV. POSTPONEMENT/TRANSFER POLICY
A. General Rule
The participant can request to postpone or transfer their enrolment to another module or program by contacting the Program Advisor in writing, at least 7 days before the module begins.
If full payment has already been made, the amount paid will be credited toward the module for which the postponement/transfer is requested, assuming the standard price (PVP) for that module in the current edition/program.
The request for postponement/transfer can only be made once.
B. Exceptions
If the specific situation for postponement/transfer does not fall under the rules mentioned above, the rules for Withdrawal/Cancellation will be applied.
C. CANCELLATION OR POSTPONEMENT OF THE PROGRAM BY INITIATIVE OF NOVA SBE EXECUTIVE EDUCATION
I. Conditions for cancellation or postponement
Nova SBE Executive Education reserves the right to cancel or postpone an Open Enrolment program under the following circumstances:
a) An insufficient number of participants to ensure the quality of the learning experience;
b) Operational reasons that compromise the feasibility of delivering the program on the scheduled date;
c) Occurrence of unforeseen circumstances or force majeure that make it impossible to hold the program on the scheduled date.
II. Deadlines and communication
a) In cases of cancellation or postponement due to operational reasons or an insufficient number of participants, the decision will be communicated to participants at least 15 days before the scheduled program start date.
b) In cases of cancellation or postponement due to force majeure or unforeseen circumstances, communication will be made as soon as possible after Nova SBE Executive Education becomes aware of the event that prevents the program from taking place.
c) Communication will be sent by email to the address provided by the participant at the time of registration.
III. Consequences and options for participants
a) In the event of cancellation, participants may choose between:
- A full refund of the amount paid, to be processed within a maximum of 15 days following the cancellation notice;
- The transfer of the amount paid to another Nova SBE Executive Education program, subject to availability and approval by the Admissions team.
b) In the event of postponement, participants may choose between:
- Keeping their enrolment and attending the program on the new date, at no additional cost;
- Requesting a full refund of the amount paid if the new date is incompatible with their availability. This request must be submitted within 10 days after the postponement notice.
